You are an experienced office coordinator with a minimum of 3-5 years post-Graduate experience looking for the next step or are currently undertaking a similar role in a similar environment/ industry job description this is an interesting, varied and busy role working within the real estate, infrastructure and natural resources sectors with key focus on providing admin support to the directors and a large growing team of project and cost managers. Admin functions: provide general administration support to the directors and team members. Arrange internal / external meetings, rooms, facilities and refreshments. Responsible for the new starter and global transfer on-Boarding processes ( capex forms for ordering laptops, mobile phones, business cards, etc). Manage general office cleanliness and environment, including but not limited to:managing facilities vendors and maintenance of office and payment of office-Related invoices and contract filling and offsite storage / archiving. Coordinator functions: support the directors by updating/formatting resumes across the team and project case studies. Produce and manage all pre-Qualifications / bid submissions and interview submissions from notification to completion. Produce correspondence, letters, reports and presentations as required and support in the formatting of documents. Update the internal contact and marketing database and ensure client care sessions are adhered to. Support and organize team meetings, including gathering content, minute taking and ensure actions are closed out. Please note: you may be required to perform other duties as assigned that are not outlined in the job description, you may be required to work overtime at short notice, and asked to provide cover during vacation time / sickness of other members of the admin team. Qualifications advanced microsoft office suite skills (microsoft word, powerpoint, excel, visio and adobe pdf). Must be an advanced microsoft powerpoint user (able to build complex presentations) english proficiency on a business level is mandatory. 3-5 years experience in a similar role. Experience working in the bid environment is a plus. Strong organizational skills that demonstrate the ability to maintain balance among multiple priorities, with excellent attention to detail and quality delivery. Strong interpersonal skills and the ability to build relationships with all real estate team members, turner & townsend stakeholders, board members and external partners/vendors. Strong proof-Reading and time management skills. Proactive self-Starter with an ability to prioritize workload and work to tight deadlines. Good people skills with an ability to work as a team member.
