Work closely with the technical counterpart to create the contracts dossier, develop a clear definition of contractual responsibilities and discuss the agenda including: - Validation of contracts strategy - Negotiation and analysis of commercial bids - Participation in recommendations to award - Adapt standard and template documents to local conditions - Provide professional advice and guidance to all contract owners/entities with respect to contractual matters - Liaise with C&P methods/planning/market and line manager for reporting and statistics matters - Keep informed or best practices in contracts procedures for improvement of contracts practices in other oil and gas companies - Use frame agreements signed by shareholders the job holder executes the following contracts activities - Prepare and maintain an up-To-Date list of qualified contractors/suppliers/potential tenders/contracts with updated information in order to perform market studies analyze and assess all possible answers from the market - Participate to the validation of the contracts strategy through: - Arranging and attending contracts committee meetings - Prepare and send out the dossiers of pre-Consultation and standard or complex invitations to bid - Verify the alignment with hse clauses, company rules, procedures, instructions and applicable legislation when issuing all contracts and when drafting contractual and commercial terms and conditions - Verify the terms & conditions (standard, general and financial) - Compose contracts from standard contracts or without standard contract and create outline agreements - Conduct the terms & conditions bid analysis and negotiation - Conduct the commercial bid analysis and negotiation thereby creating a clear definition of responsibilities and documents together with the technical entity. - Participate in recommendations to award through contracts committees and tracing of tender documents - Input all contracts/suppliers data/documents in the contracts and suppliers database - Handover contracts to the contract partners entities - Prepare files for the settlement of lawsuits in relation with the juridical, insurance and financial department - Monitor on-Going contracts status, participate to claims, amendments and contract renewal discussions and review suppliers performance with the duet planning activities - Ensure the preparation, analysis, send out and update of the master procurement planning in alignment with the budget and analyze synergies - Update the master procurement plan and other contract tracking tools timely compliance management - Participate in main C&P affiliate training sessions to ensure compliance of training with processes/procedures/rules - Define, list and perform regular controls to ensure good use of C&P tools - Define, structure and implement all affiliate C&P reference in accordance with local laws and regulations and company rules - Ensure compliance of the C&P process with all internal company rules (including totalenergies guide to conduct) and all applicable laws and regulation (country laws...) - Ensure the good administration and filing of all C&P documents he responsibilities - The employee shall perform his/her activities in compliance with the hse management system, aligned with one maestro principles and oriented to safeguard the integrity of people, the environment and companys assets and reputation - Set a personal example in adherence to affiliates hse procedures. Be in constant alignment with he company rules, instructions and applicable legislation - Raise awareness and provide guidance about the execution of the hse rules - Assure themselves and the persons under their supervision of the safety of the workplace to avoid danger to persons, installations and avoid impact to the environment - Maintain the means for personal protection and safety emergency procedures - Conduct regular inspections and report any incidents (anomaly, unsafe acts, near miss, damage, spill, injury, etc...) - Notify relevant staff on accidents, incidents and near-Misses and initiating corrective actions - Take the necessary measures to avert immediate threat of danger. Exercising caution as necessary to avoid danger to persons and installations works in an interdisciplinary environment where she/he sets up contracts processes to establish contractual documentation and monitor the affiliates processes to ensure compliance with hq standards and requirements.
